Brief

The Asia-Europe Foundation (ASEF) advances mutual understanding and
collaboration between the people of Asia and Europe through intellectual,
cultural, and people-to-people exchanges. These exchanges include
conferences, lecture tours, workshops, seminars and the use of web-based
platforms. Through there, ASEF has established permanent bi-regional
networks focussed on areas and issues that help to strengthen Asia-Europe
relations.

Established in February 1997 by the partners of the Asia-Europe Meeting
(ASEM) , ASEF reports to a board of 45 governors representing the ASEM
partners. ASEF is the only permanent physical institution of the ASEM
process. Since 1997, the Foundation has initiated projects engaging 14,000
individuals from Asia and Europe. ASEF works in partnership with other
public institutions and civil society actors to ensure its work is
broad-based and balanced among the partner countries.

*The Public Affairs Department of ASEF seeks to engage a motivated Project
Executive for a permanent position (with 3-month probation period) starting
immediately.* The department multiplies knowledge about Asia-Europe
co-operation by furthering awareness and understanding about ASEF, ASEM and
key issues in Asia-Europe relations. Aimed at diverse range of
constituencies including the media and general public, the department’s
activities foster greater mutual understanding between Asia and Europe.
*About the Position*

The successful candidate will assist the project team under the supervision
of the Director and/or Assistant Director of Public Affairs. In general,
he/she will be in-charge of promoting ASEM and ASEF to external parties by
developing and maintaining a coherent public image of ASEM and ASEF through
various online media. Where appropriate, he/she will also be tasked to
promote Asia-Europe networks among mass media through organising programmes
dedicated to media practitioners.

Specifically, he/she will be assigned to the following duties and
responsibilities:

1. *Information Management*: Administer the ASEM InfoBoard (
www.aseminfoboard.org), the official information portal on ASEM affairs,
to ensure that the website is running and up-to-date by developing and
executing activities with a sufficient level of autonomy, which include:
- Research and information-gathering on recent ASEM affairs and
Asia-Europe relations in general;
- Maintaining close link with ASEM officials from 45 ASEM partners to
gather information on specific ASEM activities;
- Content updates and management of the portal;
- Management of public access on selected information related to ASEM
and its activities;
- Maintaining the portal’s role as public contact point of ASEM by
channelling various requests from general public to relevant officials in
ASEM countries;
- Development and implementation of portal promotional strategies;
- Working closely with the technical vendor on the maintenance and
functions’ upgrades of the portal;
- Performing periodic evaluation and review of the portal.
2. *Corporate Communications & Publications*:
- Co-ordinate content management, regular evaluation, and future
development of ASEF corporate website (www.asef.org) as a tool to
promote ASEF works;
- Co-ordinate the development and maintenance of other online tools
(e.g. electronic newsletter, ASEF in YouTube and various online social
network, etc);
- Co-ordinate the corporate video revamp exercise.
3. *Projects & Special Events*: Assist the project team in selected
project(s) by being involved in implementation and execution of assigned
programmes/activities that are assigned, which include:
- Issue identification and research;
- Project design, budgeting, and identification of partners,
participants and resource people;
- Preparation of necessary documents and information materials for all
stages of project cycle management;
- Project execution;
- Post-project reporting and evaluation.
4. *Others*:
- Co-ordinate and assist in the organisation of special events e.g.
public lecture;
- Various tasks as assigned by the Director and Assistant Director.

*Candidates should have the following profile: *

- Citizen of an ASEM country;
- Graduate or Postgraduate studies preferably in Communication, Public
Relations
, or International Relation;
- Minimum 3 years of relevant experience;
- Demonstrated interest in and understanding of ASEM process,
multilateralism, and international organisations;
- Web savvy with strong familiarity in content and usability issues on
the Web;
- Practical knowledge of HTML, web applications, MS Office application,
web-editing and photo-editing software;
- Experience in liaising with governmental authorities and internationals
institution is an asset;
- Good knowledge of programme planning and project management;
- Excellent command of written and spoken English;
- Working knowledge of at least one other ASEM language is an advantage;
- Strong interpersonal skills, cultural awareness and the ability to
effectively communicate with individuals from diverse professional and
social backgrounds;
- Demonstrated ability to supervise and work in a team environment;
- Ability to work effectively with minimal supervision.

Remuneration and benefits

The successful candidate will be offered a monthly salary commensurate with
his/her personal qualifications. The salary scale for Project Executive
starts from SGD 3,300. Other applicable benefits include medical
reimbursement, travel *per diem* and annual bonus equivalent to a month’s
salary.
