John Snow International (JSI) is a Human Resources professional for the
Health Services Program (HSP). HSP, funded by USAID, is a 4.5 years
development assistance program to the Indonesia Ministry of Health,
working in four provinces on specific issues of maternal, child and
newborn health. We are currently looking for a suitable candidate to
fill in the vacancy for Jakarta based position of Administration Manager
which area of responsibilities will cover the following:

Administration Manager

Administration Manager will be responsible for the following areas of
duties including managing office operations in order to assure
efficient, smooth processes and procedures, will be acting as focal
point for arranging workshops, training and or meetings related to
Community mobilizations and Health Information System including prepare
the WAF, prepare workshop materials, arrange the venue of the events,
follow up the logistic requirements, request for cash advance and settle
the payments for the participants/ attendances, and to Ensure
administrative system are fully incorporated and followed in day to day
office activities; Oversee office transportation, securities, utilities,
insurance, telephones and maintenance services; Develop and maintain log
for daily driver's trips and sign fuel requests/receipts from drivers;
Collect and maintain document of family planning and branding compliance
reports; Maintain the organizations training web; Maintain the
organizations contact database; Maintain the organizations central
filling system; Selecting, classifying, cataloging and indexing library
materials and provide bibliographic reader assistance to all staff;
Responsible for the administration of organizations libraries and manage
the library services; Drafting email/memo prior distributing the
organization newsletter (soft copies) to all partners; Taking minutes
meeting during internal Finance and Admin meetings; Keep stock of
Quarterly Report, Annual Report, HSP Newsletter and/or other
communication publications; Distributing Quarterly Report (hardcopy),
communication materials and newsletter to USAID and partners and
Performing other duties as assigned by superiors within the capacity of
his/her field of profession. S/he will be supervising a number of
subordinate and will be responsible for their development. In general,
Admin manager with the subordinates shall support HSP office to be a
conducive, effective and efficient working environment.

Qualifications:

University Degree

10 years experience of proven track record in administration and or
office management systems and procedures

Very good team player, with the ability of working on multi-assignments

Good knowledge of Microsoft Office

Very Good command of English

Previous experience in managing staff

Excellent communication and interpersonal skills

Highly motivated to work proactively and take on responsibility
